Terms and conditions

The Pacific Society for Reproductive Health (PSRH) 15th Biennial Pre Conference Workshops and Biennial Scientific Meeting (BSM) will be held in Auckland, New Zealand from March 16th to 22nd 2024.

1. Acceptance

By clicking “Accept and Register” I agree that I have read and agree to the Terms and Conditions below, and acknowledge that the accuracy, credibility, validity and reliability of any information, document, recommendation, opinion, statement or otherwise contained in the BSM has not been verified by PSRH. I agree that I will consider my own circumstances and that PSRH encourages me to consider or seek professional advice on the matters in this agreement and contained in the BSM. PSRH is not responsible for any outcome or result arising whatsoever from the information provided.

I agree to comply with the requirements of the PSRH Privacy Policy and these Terms and Conditions with respect to information obtained from the BSM.

2. Attendance and participation

Attendance at and participation in the BSM is for my own educational purposes, and to the extent that I am able to provide comments, feedback and other contributions I will do so in good faith, and only to express my personally held opinions.

Attendance and access to BSM materials is subject to PSRH’s confirmation of registration.

If the Aotearoa New Zealand BSM 2024 is unable to run in a face to face format due to circumstances outside PSRH's control, the event will run at a later date when the event can be facilitated, and you will be duly notified. If you do not wish to proceed with attendance on the new date, you can request a full refund. Credit card surcharges will not be refunded under any circumstances.

3. COVID-19 in person attendance advice

PSRH will continue to closely monitor government advice regarding public gatherings and will follow all relevant health advice from the Aotearoa New Zealand government in relation to COVID-19.

We request people that are unwell with cough or fever, or other respiratory symptoms to not attend the event.

Participants are welcome to wear a face mask particularly if participants are at risk of severe illness from COVID-19 and/or the incidence of COVID is moderate or high.

3. Programme

All efforts will be made to deliver the pre-conference workshop programmes and biennial scientific programme as advertised. PSRH and its suppliers reserve the right to alter or cancel without prior notice any of the arrangements for reasons beyond PSRH’s reasonable control. PSRH and its suppliers are not liable for any loss or inconvenience caused as a result of such alterations.

Some of the information provided in the programme may be provided by external sources. Although every effort has been made to ensure accuracy of the content, PSRH accepts no responsibility in that regard.

PSRH is committed to its events being representative of the varied experiences of the attending participants. PSRH will make every effort to ensure all its Conference activities are diverse and representative in terms of gender and regional representation. PSRH cannot guarantee that unforeseen or last-minute circumstances will not result in some sessions becoming less gender or geographically balanced than originally intended, due to speaker changes.

In the event a pre-conference workshop reaches capacity, a waiting list will be available but participants are encouraged to register for an alternative workshop. Only paid registrants will be notified for placement if and when a space becomes available.

4. Registration

Registration for the Pre Conference Workshops and the Biennial Scientific Meeting is required for all participants, speakers and faculty. Registration for both events includes access to conference catering, conference materials, exhibition trade stands and poster displays. BSM registration includes in-person attendance at the two and a half day meetings and the Conference Dinner which will be held at the Jean Batten Ballroom at the Holiday Inn on Thursday March 21st, 2024.  Delegates are responsible for covering all other expenses, including travel, accommodation, and food and beverages. Certificates of attendance will be issued upon completion of a feedback survey after the Conference. Certificates of attendance will not be available beyond 18 September 2024.

5. Payment 

Prices are in New Zealand dollars and include GST.

Choose from these 3 payment options:

  • Option 1: Credit Card – Registration is automatic upon valid credit card payment.
  • Option 2: Invoice - Registration confirmation upon payment within 14 working days of the invoice date.
  • Option 3: Sponsored Participant – Confirmation from your Sponsor is needed for registration. If sponsorship is not confirmed, we will contact you by January 29th to confirm your intention.

All payments are to be made by Monday February 26, 2024

Credit Card: Visa and MasterCard are accepted.

6. Cancellation

Cancellation Charges

If cancellation request is received in writing on or before 15th January 2024 then 100% refund less 10% administration fee is available.

If cancellation request is received in writing on or after 16th January 2024 then 50% less 10% administration fee available.

If cancellation request is received in writing on or after 26th February 2024 - No refund available

Where there are extenuating circumstances, a refund of the registration fee may be considered by and at the discretion of PSRH. Credit card surcharges will not be refunded under any circumstances. No refund will be paid following failure to attend without notice.

7. Visa requirements

It is the delegate’s responsibility to check visa requirements for entry into New Zealand, and, if required, apply for a visa to travel to and attend the 15th PSRH BSM. PSRH cannot take responsibility for declined visa applications or applications not processed in time.

All member countries will be sent an invitation letter to the 15th PSRH BSM event. This will be addressed to the equivalent of the head of Obstetrics and Gynaecology/Reproductive Health in the member countries (e.g., Head of Unit, Director of Health, or Minister of Health). A letter of invitation can only be issued to delegates who have paid all registration fees in full. A letter of invitation should not be considered as an official invitation to cover any fees or other expenses

8. Insurance

Registration fees do not include insurance. All participants are advised to procure their own insurance to cover all risks including (but not limited to) costs of registration and ticket fees, personal property, health and medical expenses, injury, death, any travel and accommodation, and all other risks. PSRH will not be held liable for any claims under any circumstances.

The participant acknowledges if they choose to attend the PSRH 2024 Biennial Conference event, this is at their own discretion, and they are responsible for seeking advice on refunds or cancellations prior to booking travel and accommodation should any enforced restrictions be announced.

In addition, the participant acknowledges they are personally liable to follow and comply with any advice and mandatory quarantine requirements set by the Aotearoa New Zealand Government prior to, at the time of the event, or after the conclusion of the event, at their own expense.

9. 15th PSRH Conference Event Content

Information shared by presenters at the 15th PSRH BSM 2024 is the opinion of the presenter alone, and PSRH does not endorse, nor verify the accuracy, credibility, validity, and reliability of any PSRH BSM 2024 material.

I will assess the suitability of the PSRH BSM for my own personal educational purposes, and the use of or reliance on the BSM materials is at my own risk. PSRH will not be responsible for any use of or reliance on the BSM materials. 

The BSM organisers reserve the right to make reasonable changes to the programme (including activities, topics, timings and presenters) where necessary.

10. Code of Conduct

By agreeing to the event’s Terms and Conditions, delegates are expected to behave in a professional and appropriate manner consistent with the PSRH Code of Conduct.

PSRH encourages the principles of open discussion and interaction as essential elements of participation among all Congress attendees.

PSRH will not tolerate behaviour that leads to harm, prejudice or disruption during the Conference, including the threat or use of physical force by any individual or group of individuals against person or property.

PSRH reserves the right to revoke Conference registration and name badges, therefore denying access to individuals who do not adhere to these principles.

The safety and wellbeing of Conference attendees is our priority. If any attendee witnesses, experiences or suspects any behaviour in breach of the Code of Conduct, they are encouraged to report this to a member of the Organising Committee. We will respond as soon as possible and take appropriate action.

11. Allocation of CPD hours 

CPD hours will be allocated for the Preconference workshop event and the Biennial Scientific Meeting event.

12. Copyright & Intellectual Property

The owner of the PSRH material grants me a revocable licence to use the material for my own personal educational purposes. I agree that I must not use or commercialise the PSRH Biennial Scientific material for my own commercial gain. By submitting a request to register, I will comply with PSRH’s policies and requirements relating to intellectual property rights.

13. Consent & Confidentiality

I will not disclose PSRH's confidential information without prior written consent.

PSRH may collect my personal information for the administration of the 15th PSRH BSM in Aotearoa 2024, for security, legal, future marketing, and promotional purposes, in accordance with its privacy statement.

PSRH agrees that it will not disclose your confidential information without your prior written consent, except where required to facilitate the 15th PSRH BSM 2024 or where required by law.

By completing this registration form, I give permission for my details to be made available to the 15th PSRH Conference organisers (including RANZCOG who are supporting the registration process). My name and organisation will be included in the participant list unless I express in the registration that I do not wish to be included in the participant list. Delegates’ full name, city and workplace will be provided to the exhibitors supporting our event. 

14. In General

Unless required by an applicable law, PSRH will not be responsible for any direct or indirect costs or losses incurred in any circumstances. To the extent permitted by law, any statutory or other warranty, condition, description, or recourse, express or implied as to the 15th PSRH BSM 2024 is expressly excluded by PSRH.

15. Definitions

In these Terms and Conditions:

Confidential information of a party means any information, including Personal information, which is notified to be confidential, or which is confident by nature.

Information means any information, document, recommendation, opinion, statement or otherwise published, commented, posted, or otherwise made available in the BSM.

Intellectual Property means information, trademarks, patents, designs, circuit layouts, copyrights, know-how and all other rights.

Personal information means personal, sensitive or health information of or about an individual within the meaning of Privacy Act.

BSM means any event, course, workshop, conference, meeting, presentation, exhibition or information session conducted at the 15th PSRH Pre-conference workshops and Biennial Scientific Meeting 2024.
